Position Objectives:

Under general supervision of the Chief of Police performs a variety of duties to include daily operations of front desk, cash register, phone system, vehicle registrations, and citizen assistance. 

Duties and Responsibilities:

Principal Duties and Responsibilities: 

  1. Daily reconciliation of cash register including data entry in Incode software.
  2.  Assist customers with vehicle registrations and renewals maintaining knowledge of Wisconsin Department of Transportation procedures. Responsible for maintaining and ordering supplies, such as, license plates, vehicle registration stickers, and other supplies. 
  3. Front desk duties include fielding inquiries and complaints from the public to obtain information and offer assistance and/or resources as available, including problem- solving.  
  4. Dispatch officers as needed. 
  5. Enter parking tickets into internal software for payment.  Responsible for sending out late notices on parking tickets and also completing suspensions to the State of Wisconsin DOT for unpaid fines. 
  6. Maintain front desk resource binders to include missing persons, stolen articles/vehicles, restraining orders/injunctions, important phone numbers, Municipal Court citations, etc. 
  7. Ensuring municipal citations have been accepted/transmitted/logged into case reports. Making sure municipal court and city attorney’s office get the necessary paperwork. 
  8. Responsible for records request of digital media and reports, providing copies of files to insurance companies and attorney’s offices or others who may be requesting information including obtaining copies and sending out proper billing. \
  9. Daily contact with the District Attorney’s office for officer court notifications as well as notification of officers regarding cancelled court and maintain the court notice log. 
  10. Maintain municipal court citation books to provide city attorney with court citations. 
  11. Perform weekly outdoor warning siren tests and completion of the annual tornado awareness drill within City Hall. 
  12. Process bicycle registrations. 
  13. Maintain certification in Advance TIME System operation for querying and entering data such as warrants, criminal histories, driving status and vehicle information. 
  14. Maintain proficiency in internal records systems software, TIME, TRACS, Microsoft Office products, and all other necessary software products. 

Minimum Requirements:

Knowledge, Skills, Abilities, and Qualifications Required:

 

Education/Experience: Associate Degree with business courses and one year of office experience working with the public; or any equivalent combination of experience and training which provides the required knowledge, skills and abilities.  

Skills/Abilities: 

  • General knowledge of office procedures.
  • Skill in the use and care of a personal computer, and other modern office equipment.
  • Ability to learn computer applications quickly, and operate and maintain computer records.
  • Ability to use Microsoft Office products.
  • Well-defined skill and knowledge of oral and written communications.
  • Ability to interact tactfully and impartially with the public, analyzing problems and developing appropriate recommendations and remedies for same.
  • Ability to maintain a high level of confidentiality.
  • Possesses good judgment, thoroughness, dependability, and be detail oriented
  • Ability to work under deadlines and manage multiple tasks on a daily basis with accuracy.
  • Considerable skill and diplomacy in establishing working relationships with others.
  • Ability to identify potentially violent behavior and know when to request assistance.

 

Qualifications

  • Candidates are required to pass physical examination and drug screening once job is offered. Physical examination and drug screening will be scheduled and paid for by the City. Until physical examination has been conducted and records turned over to the City of Merrill, applicant chosen is not officially hired.  Background check will be conducted
  • Must be certified in Emergency First Aid and CPR, or become so with 6 months of hire.
  • Must possess a valid Wisconsin driver’s license.

Benefits:

This position is compensated at Grade 6 on the established compensation schedule for the City. The hourly wage range is: $20.15 to $25.97 per hour. Prorated benefits such as vacation time, sick time and Holidays will be granted.
